Primary Role
Responsible for providing advanced and complex administrative support to the State President and their functional team.
Key Accountabilities
- Coordinates all activities of the executive including (but not limited to): maintains calendars and manages realistic appointment and meeting schedules for the executive staff; assists executive staff with special projects by compiling materials for submission, responding to requests, and performing in the function as required by circumstances; coordinates travel arrangements.
- Exercises own initiative, judgment, and knowledge in relieving executive staff of procedural and managerial duties. Prepares drafts, proofreads and finalizes correspondence, reports, statistical data, memoranda, and related material as directed. Research and abstracts information and supporting data in preparation
- for meetings, board presentations, work projects, reports, etc. Ensures all processes are successfully completed including time entry, SAP (invoice processing and check disbursements), corporate credit card and expense statements.
- Establishes and maintains an organized filing system. Maintains the filing system to easily facilitate retrieval and access to materials related to the department. Ensures confidentiality of the records maintained within the company.
- Resolves day-to-day operational issues as determined by scope of authority. Exercises initiative, judgment, and knowledge within scope of responsibilities of administrative, procedural, and managerial details in day-to-day activity of the department. Effectively handles emails, telephone requests, and correspondence in response to inquiries. Maintains effective working relationships with all functions. Assures that all people visiting the company are treated with dignity and respect.
- Coordinates department workflow. Maintains and orders equipment and supplies when needed.
Important Information
Posted range is $35-$45hr
The base salary range represents a good faith salary range for this position. This position is eligible for annual incentive pay and has the opportunity for continued salary growth. If you are hired at American Water your base salary compensation will be determined based on factors such as market, geography, skills, education and/or experience. Knowledge/Skills
- Demonstrated organization and administrative skills
- Demonstrated communication skills, both verbal and written

- Ability to work with and maintain highly confidential information.
- Ability to work in a fast-paced environment with competing priorities under sometimes highly stressful situations.
- Thorough knowledge of standard business practices and principles, including basic accounting and budgeting
- In-depth knowledge of Microsoft office suite applications including MSWord, Excel, Access and PowerPoint and email management systems
- Ability to use Internet web sites to acquire information
- Knowledge of specific payroll systems
- Knowledge of water or utility industry preferred
- Knowledge of SAP a plus.
- Ability to learn new systems and processes
Experience/Education
- Minimum of five (5) years’ experience supporting senior managers and teams.
- High School Diploma/GED required.
- Associate degree in Secretarial Science and /or CPS designation preferred.

- Hybrid work schedule 3 days in the office 2 days offsite.
