Primary Role
The Sr Coordinator, Capital Program is responsible for performing advanced coordination, reporting, and data management support for the capital program. This role ensures accuracy, consistency, and completeness of project and program information while facilitating alignment across engineering, operations, procurement, and finance teams.
This role supports capital program execution through data management, reporting, and process coordination and does not perform financial modeling, forecasting, or capital investment analysis.
Key Accountabilities
- Maintain organized records of capital projects, including documentation, approvals, and status updates
- Facilitate communication and information flow between engineering, operations, procurement, and finance teams
- Coordinate meetings, timelines, and deliverables related to capital program activities
- Maintain and oversee capital program tracking systems to ensure data accuracy, consistency, and completeness
- Compile, validate, and reconcile project data across multiple systems and stakeholders
- Prepare recurring and ad hoc reports using established templates, including capital program status, KPIs, and performance tracking
- Produce standard reporting metrics (e.g., work completed vs. work scheduled, project status updates) to support program monitoring
- Monitor project data (schedule, cost, scope) to identify variances or discrepancies
- Ensure issues are clearly documented and escalated to appropriate program, engineering, or finance stakeholders for resolution
- Support tracking of action items and follow-up activities to ensure timely resolution
- Compile and validate data inputs supporting capital budgets, forecasts, and business plan reporting
- Maintain documentation and support materials related to capital investment planning
- Assist with preparation of capital program reports for monthly, quarterly, and annual reporting cycles
- Support adherence to capital investment management (CIM) policies, procedures, and internal controls
- Assist with program audit activities by organizing documentation and tracking

- Support implementation and consistent use of standardized tools, templates, and reporting practices
- Identify data inconsistencies or process gaps and recommend improvements to enhance coordination and reporting accuracy
- Support updates to reporting tools, templates, and workflows to improve efficiency and consistency
- Provide guidance to coordinators and project teams on data requirements and reporting processes
Knowledge/Skills
- Working knowledge of capital program and project lifecycle (planning, design, construction, closeout)
- Understanding of capital investment management (CIM) processes, policies, and documentation standards
- Familiarity with project tracking systems, reporting tools, and enterprise data systems
- Basic understanding of project controls concepts (schedule tracking, cost tracking, KPI reporting)
- Knowledge of regulatory and internal compliance requirements applicable to capital programs in a utility environment
- General understanding of procurement processes and coordination with vendors and contractors
- Strong data management and data validation capabilities.
- Intermediate proficiency in Microsoft Excel (data organization, basic formulas, tracking) and reporting tools
- Ability to compile, reconcile, and organize data from multiple sources
- Strong attention to detail and accuracy in reporting and documentation
- Effective coordination and organization skills across multiple projects and stakeholders
- Ability to identify data discrepancies and facilitate resolution with appropriate stakeholders
- Effective verbal and written communication skills to support coordination with engineering, project, procurement, and finance teams.
- Ability to manage multiple priorities and meet deadlines in a structured environment
Experience/Education
- High School Diploma. Associate’s Degree in business administration, finance, accounting, project management, or related field preferred.
- 5+ years’ experience in a project coordination, program support, administrative, or similar role
- Experience supporting capital projects, infrastructure programs, or utility operations preferred
Travel Requirements
- Up to 5%, as required
