Primary Role:
The Coordinator, Facilities Maintenance is responsible for facilities coordination at the HQO facility, including but not limited to meeting room setups, processing maintenance work orders using company systems, conducting minor repairs and maintenance requests. Ability to manage stakeholders, be an effective member of the Facilities team with excellence in customer service and adherence to AW’s safety culture and policies.
Key Accountabilities:
- Assist with the management of HQO to ensure that facilities are well maintained and in accordance with applicable building fire, electrical, and mechanical system standards and codes.
- Maintain headquarters facility in alignment with AW safety culture and operational integrity which includes consistent cleaning routines, proper waste disposal, and tidy organization of facility related tools and supplies to minimize hazards and promote efficiency.
- Routine inspections of common areas, meeting, huddle, and phone rooms, closets, elevators and stairwells for cleanliness and hazards.
- Inspections will be conducted weekly and reported in writing to Facility leadership.
- Coordinate meeting setups and room layouts with stakeholders.
- Ensure spaces are arranged efficiently with proper seating, accessibility, and materials based on the meeting type—whether a presentation, discussion, or workshop.
- Assist with work orders, maintain as-builts, asset retirement, utilizing power plant for facility-related capital expenditures.
- Assist with the operation of the headquarters café, fitness center, and other amenities to ensure they are operated in a safe, clean, and efficient and in accordance with local, state, and federal laws.
- Under the direction of the Manager, Facilities and if necessary, work with contractors and suppliers for timely completion of repairs and maintenance tasks.
- Partner with Manager, Facilities to develop office safety/security plans that promote a safe, secure, and pleasant work environment.
- Assist in the implementation of the strategy for service company standardization, use, and configuration of furniture, offices, meeting rooms, and common areas.
- Coordinate and assist with employee relocations, office moves, and special projects within the facilities team.
- Pursue continuous improvement initiatives to include cost savings, value engineering, waste reduction, recycling, and energy efficiency programs.
- Monitor and maintain adequate levels of facility and kitchen supplies and equipment.
Knowledge/Skills:
- Basic understanding of HVAC, plumbing, electrical, and mechanical systems.
- Familiarity with maintenance processes, safety regulations, and work order systems.
- Means and methods for facility maintenance repairs preferred.
- Knowledge of hand and power tools used in facility maintenance.
- Knowledge of safety regulations and maintenance best practices.
- Good verbal and written communication skills (e.g., report writing, listening, plan reading and creating, and presentation).
- Strong interpersonal skills (e.g., tact/diplomacy, persuasion, team building, cooperation, leadership, ability to motivate others.
- Strong organizational and problem-solving skills.
- Ability to multitask and communicate effectively with staff, management and vendors.
- Computer proficiency; ability to utilize Microsoft Office products, such as MS Word, MS Excel to prepare reporting and update documents.
Experience/Education:
- High school diploma or equivalent; trade school or associate degree preferred.
- 5+ years’ experience in facilities, property management, and/or maintenance related fields and/ or building services work.
- Corporate environment preferred.
- Experience managing contractor and vendor relationships
Certifications/Licenses:
- Valid Driver’s License
Work Environment:
- Standard indoor office environment. Outside work may be necessary in all weather conditions. Work will require sitting, standing, walking, working with equipment and performing physical tasks for extended periods.
- The ability to lift a minimum of 45 pounds is necessary.

Compensation Data:
Posted Range: $49,920-$78,780
The base salary range represents a good faith salary range for this position. This position is eligible for annual incentive pay and has the opportunity for continued salary growth. If you are hired at American Water your base salary compensation will be determined based on factors such as market, geography, skills, education and/or experience. At American Water, we are committed to pay equity.
